Terms & Conditions for our 2021 Pyrenees Holidays

Please read this page carefully, before booking a place on the event

 

Cost is per vehicle, (using your own Land Rover) for anywhere between 1 and 3 occupants.  If you intend to travel with more than 3 occupants, please contact us before booking to confirm additional accommodation charges.

The motorway motel accommodation in France will consist of en suite rooms with either one double bed, 2 singles, or a family room with one double bed and two singles (or 4 singles).  We will base our motel room bookings on the number of people in your vehicle.  However, if there are only 2 people in your vehicle, but you still require a family/group room, please let us know when booking.  Anyone wanting more than 1 room for any reason must advise us at the time of booking, and pay any additional costs this incurs.

All vehicles must be legally insured to drive on the continent.  Check with your motor insurance company regarding this.  Some insurers will need you to request a green card, but even if yours doesn't you should let them know you will be driving in France, Andorra and Spain.

All drivers and passengers must have relevant travel/medical insurance cover.  Unless new announcements are made, it is expected that the European Health Insurance Card (EHIC) will cease to be valid at the end of 2020, so you will require medical insurance for all regions we visit.

In the event of a breakdown, we will try to assist, and if unable to repair, we will endeavour to get you to a recoverable position or a local garage.  As a condition of booking on this holiday, all entrants are required to have a suitable European breakdown insurance policy for the duration of the trip.  Recovery costs from the continent can be very expensive.  We strongly advise all entrants to look carefully at the policy they intend to purchase, as cover does vary from company to company.  It's important you fully understand any limitations to the cover provided, and any potential delays to the repatriation of your vehicle should the worst happen and you were to break down.

Strictly no trailers or caravans permitted.  If you intend using a roof rack or roof box please advise us first, as the ferry operator may levy a surcharge for vehicles over 2.35 metres high.  Unfortunately, pets are not permitted on this trip.

Proof of vehicle and medical cover will be required prior to departure.  Also, your driving licence will need to be available for inspection.  Accommodation providers in Andorra are now also required to take a photocopy of the passport of all guests.  To speed up the checking in process, we ask that all customers bring a photocopy of their passport with them so that we don't have to wait for reception to make copies on our arrival.

All drivers must complete a disclaimer at the start of the trip.  This is to indicate that they themselves are responsible for their vehicle, passengers and contents.  All passengers must be legally seated in the vehicle.  Please ask if you'd like to see a copy of this disclaimer prior to booking.

The accommodation in Andorra is at a well established, friendly, family run hotel with en suite rooms sleeping up to 3 people.  If you do not want to share a room with the others in your vehicle, extra rooms are available if booked in advance, subject to the payment of a surcharge (please ask for details).  The hotel car park (in common with almost all hotels in Andorra) does not have sufficient headroom for most Land Rovers, so we have arranged paid parking nearby which is included in the entry fee.  Your vehicle will therefore be parked a few hundred metres from the hotel door, but there is a drop off/loading point right outside our hotel for when bringing in/out bags etc.  Please ask if you'd like more details about the parking prior to booking.

There are a number of occasions during the holiday where we will provide food to entrants as part of the package.  This is currently in the form of breakfasts at the French Motorway Motels and our Andorra Hotel, our Group Get-Together Meal on the Sunday evening in the hotel restaurant, and our Group Tapas Meal on the Friday evening at one of our favourite local restaurants.  Any entrant with any food allergies or intollerances must tell us in advance so that we/they can make alternate arrangements regarding these provided meals.

Bookings for this event must be made a minimum of 12 weeks prior to the departure date, although you should book as early as possible as places are limited and often sell out early.  A £395 deposit (non-refundable) is required to secure a place on the 2021 trips.
For the September 2021 trip the final booking date is 19 June 2021.  For the October 2021 trip the final booking date is 10 July 2021.

The balance of your entry fee (£1600) must be paid at least twelve weeks prior to departure.  Between booking and the closing date, you may if you wish pay in instalments at no extra charge.  Our preferred payment method is BACS/direct bank transfer, but if necessary you can also pay by credit/debt card or cheque.

French motorway toll charges are now included in your entry fee, as is the toll on the tunnel we use to access Andorra from France.  If you have chosen not to travel with the group, please contact us before booking to discuss a deduction from the entry fee in relation to the toll charges.  By using our Automatic Toll Tags to use during the journey, we save time and stress at the toll booths, and this allows us to keep the group together more easily.

The rest of the holiday is provided as a package tour, including all the elements mentioned within these 'Pyrenees Holiday' pages on our website.  We are not able to reduce your entry fee should you decide that certain of these elements are not be required by you.

If you cancel your booking more than 12 weeks prior to the departure date, any monies paid other than the deposit will be refunded to you.  Cancellations in the final 12 weeks prior to the departure date, will only receive this refund (less the deposit) if we are able to resell your place on the holiday.

If, for any reason, the event has to be cancelled by us, full refunds will be given, including your deposit.  You should note that we can only confirm the event will run once we have sufficient bookings.  In the unlikely circumstances of the event being cancelled by us, ukLANDROVERevents cannot be held liable for any other costs you may have incurred, such as for travel, insurances or pre-event accommodation.  To cover these additional expenses, we recommend you obtain suitable cancellation insurance (this may be included with your medical/travel policy).

COVID-19:  As a temporary ammendment to these terms and conditions, a final decision will be made at least 12 weeks prior to the departure date as to whether it is possible/practicable to deliver the holiday in an acceptable format based on any COVID restrictions in place at the time.  If it is deemed impossible to deliver a suitable holiday, ukLANDROVERevents reserve the right to cancel/postpone the holiday, but all entrants will in those circumstances be entitled to a full refund, including of deposits.

In addition, anyone who is unable to attend a booked holiday due to one of the following specific COVID related reasons, and who notifies us as soon as is practicable, will receive a credit or refund even if they notify us outside of the timescales in our usual terms.
Specific reasons qualifiying for this ammendment are: 1.  Suffering from COVID-19 or COVID-19 symptoms     2.  Isolating due to coming into contact with someone with COVID-19 or COVID-19 symptoms     3.  Instructed to isolate or lock down by a statutory authority

ukLANDROVERevents may need to alter the routes and/or the itinerary if outside factors dictate.  The weather can have a significant impact on which areas are safe to drive during the off road days, so we are unable to guarantee any particular route, high viewpoint, or point of interest will be visited during this trip.  We will endeavour to provide off road routes in other areas if any of our usual routes are unavailable for any reason, but again this can sometimes be out of our control for various reasons.  Ferry crossings and travel times may also vary depending on factors outside our control.

Cheques are to be made payable to ukLANDROVERevents.  Ask us for our bank details if you'd rather make a direct bank transfer (BACS payment).  We can also accept payments in instalments by credit/debit card, just call us to pay over the phone.
